Administrative Associate II Perform general administrative duties for the Ball Aerospace Civil Space business unit. Duties include computer data entry travel and expense processing spreadsheet maintenance photocopying of materials collating word processing and scheduling of appointments. What You?ll Do: Provide customer service for incoming requests for administrative assistance Book travel arrangements (domestic and international) approximately 10 ? 12 trips per week Complete expense reports as requested by travelers Assist program teams in preparation of documents spreadsheets and presentation materials as requested Schedule and coordinate WebEx meetings Coordinate and manage office/facilities relocations for program team members Conduct day-to-day Administrative tasks including answering phones and emails ordering office supplies mail distribution preparing visitor badge requests arranging for catering and picking up lunches for meetings Cover for other Civil Space Administrative Associates as time permits Attend training and information seminars to remain cognizant of applicable Ball processes and procedures Be available to support Civil Space teams during normal working hours each day Maintain a regular and predictable work schedule. Establish and maintain effective working relationships within the department the Strategic Business Units Strategic Support Units and the Company. Interact appropriately with others in order to maintain a positive and productive work environment. Perform other duties as necessary. What You?ll Need: High School diploma or equivalent plus 2 or more years of related experience. Each higher-level related degree i.e. Associate?s may substitute for two years of related experience. Two years of related experience may be substituted for each year of education. Degree must be from a university college or school which is accredited by an agency recognized by the US Secretary of Education US Department of Education. Must be proficient with e-mail programs Microsoft Outlook Word and Excel and have familiarity with office machinery such as copiers and fax machines Effective communication and interpersonal skills Must have strong attention to detail Desire to learn about Ball Aerospace and be part of a team. Working Conditions: Work is performed in an office environment. Travel and local commute between Ball campuses and other possible non-Ball locations may be required.
